18th Istanbul Biennial Accreditation Application Form – Information Notice on The Processing of Personal Data

In accordance with Law No. 6698 on the Protection of Personal Data (“the Law”), your personal data will be processed by the data controller, Istanbul Foundation for Culture and Arts (“İKSV”), within the scope described below.

This information notice explains which of your personal data will be processed, for what purposes your personal data may be processed, the method and legal grounds for its collection, the parties to whom your personal data may be transferred, and your rights. 1. Your Processed Personal Data

In the application form to be completed by culture and art professionals as well as members of the press who wish to be accredited for the preview days of the 18th Istanbul Biennial, which will be held from 16–19 September 2025, the following personal data are processed:

Name, Surname, Email, Date of Birth, Phone Number, Age, Country of Residence, Affiliated Institution, Profession/Title

2. Purposes of Processing Your Personal Data

Your personal data are processed for the following purposes:

  • To carry out evaluations, establish contact, and perform other necessary procedures regarding culture and art professionals and members of the press who wish to be accredited.
  • To conduct, manage, and implement personalized marketing activities by examining your past shopping habits and trends as part of overall marketing processes; as well as to perform other marketing and customer relationship management (CRM) activities and profiling in order to create tailored campaigns, advertisements, etc.
  • To send you personalized communications via the communication channels (e.g., email, SMS, telephone, etc.) to which you have given your consent in connection with the advertising, campaign, or promotional activities regarding İKSV events.

(All of the above are collectively referred to as “Purposes”.)

3. Method of Collection of Your Personal Data and Legal Grounds

Your personal data are collected by the Istanbul Foundation for Culture and Arts for the purposes mentioned above, through the filling out of the participation form provided on the website for the application to be accredited for the preview days of the 18th Istanbul Biennial, as well as via email communications that may be conducted with you.

The personal data collected by this method are processed on the following legal grounds:

-Based on the legal ground that processing the personal data belonging to the parties of the contract is necessary, provided that it is directly related to the establishment or performance of a contract;

  • For the purpose of conducting evaluations, establishing contact, etc. and carrying out the other necessary procedures regarding the accreditation of culture and art professionals and members of the press within the scope of the 18th Istanbul Biennial,

-Based on the legal ground that data processing is mandatory for the establishment, exercise, or protection of right,

  • The accreditation of culture and art professionals and members of the press within the scope of the 18th Istanbul Biennial,

-Based on the legal ground that processing data is mandatory for the legitimate interests of the data controller, provided that it does not harm the fundamental rights and freedoms of the relevant person,

  • For carrying out, managing, and implementing personalized marketing activities, for performing other marketing and customer relationship management (CRM) activities, and for profiling (through examining your past shopping habits and trends) in order to create tailored campaigns, advertisements, etc.
  • For sending you personalized communications via the communication channels (e.g., email, SMS, telephone, etc.) in connection with advertising, campaigns, or promotional activities regarding İKSV events.

4. Transfer of Your Processed Personal Data

Your personal data may be shared and transferred as follows:

  • With real or legal persons from whom services are procured in connection with the event, in accordance with the purposes stated above.
  • With social media organizations located abroad if you have given your explicit consent.
  • With public institutions or organizations that are legally authorized to request and receive these data, in compliance with legal boundaries and only to the extent necessary for the purpose and requirements of the related transaction.

5. Rights of the Data Subject Whose Personal Data Are Processed

In accordance with Article 11 of the Law, you have the following rights regarding your personal data:

  • To learn whether your personal data is being processed.
  • To request information about the processing if your personal data is being processed.
  • To learn the purpose of processing your personal data and to verify whether it is used in accordance with that purpose.
  • To know the third parties (both domestic and international) to whom your personal data have been transferred.
  • In the event that your personal data are processed incompletely or inaccurately, to request their correction and to ask that such corrections be communicated to any third parties to whom your personal data have been transferred.
  • If your personal data, though processed in accordance with Law No. 6698 and other relevant regulations, no longer require processing for the reasons initially necessitating it, to request the deletion or destruction of your personal data and to have this communicated to any third parties to whom your personal data have been transferred.
  • To object to any decision that adversely affects you based solely on automated processing of your data.
  • To request compensation for any damages incurred due to the unlawful processing of your personal data.

If you wish to exercise any of the rights provided in Article 11 of the Law, you may submit your request—with explanations regarding the specific right you wish to exercise—by either:

  • Filling out the form available at http://www.iksv.org/i/assets/iksv/documents/veri-sahibi-basvuru-formu.pdf and delivering a signed copy of the form along with documents that verify your identity in person at İKSV Building, Sadi Konuralp Caddesi, No: 5, Şişhane, Istanbul;
  • Sending it via registered mail with a return receipt;
  • Using notary services or any other methods specified in the Law;
  • Or by securely sending the electronically signed form to kisiselveriler@iksv.org.

Your request will be processed as soon as possible and, in any event, within 30 (thirty) days. However, if the processing entails additional costs, a fee as determined by the tariff set by the Personal Data Protection Board will be charged.
